Can a booked visit go straight into my calendar, and my tenant's?
Yes — set a visit time on a job and you and your tenant are each emailed a calendar invite, updated if you move or cancel it. A calendar link can add every visit.
Open any maintenance job and set the visit time: a date and an arrival window of up to 12 hours, like 8am to 12pm. You can also set it when you book a certificate renewal.
Saving it emails a calendar invite to you and to every tenant entitled to see the job — the tenant it was raised against, or, for a gas safety check or other certificate renewal, every tenant with an active tenancy at the property. Most email apps show an Add to calendar button on it. Move the time or change the supplier and everyone is sent an update to the same event; cancel the job or remove the time and they're sent a cancellation that takes it out of their calendar.
- Your tenant's invite has the address, the arrival window and the supplier's name — not your description of the job, and never its cost.
- Your invite also has the supplier's phone number and your description.
- A job with no tenancy, such as a repair between lets, invites only you.
Booked inspections go into both calendars the same way.
To have every visit in one place, use the calendar link under Calendar on your Preferences page. Add it to Google Calendar, Apple Calendar or Outlook once and each visit you book appears on its own. Tenants can make their own link from their account page.
Worth knowing: The link is shown once and works without signing in, so keep it private. If you lose it or share it by mistake, make a new one — the old one stops working straight away. Google Calendar can take several hours to pick up a new visit from a link, which is why the emailed invite is sent as well.
If you set a time less than 24 hours away, Tenarize reminds you to check it with your tenant first. It doesn't stop you: an urgent repair can't always wait.
